Assistant Registrar (Scheduling Unit)

Description

We are seeking a detail-oriented Assistant Registrar to manage course scheduling, examination timetables, student graduation lists, and the Learning Management System (LMS). The role involves ensuring accuracy in scheduling, maintaining course audit reports, updating student statuses, and supporting various academic administration tasks. The ideal candidate will be highly organized, with strong communication skills and the ability to work collaboratively with different departments.

Responsibilities

  1. Course Scheduling
  • To manage and ensure accuracy in Course Scheduling & Examination that should be based on the course offering from schools
  • Compile and consolidate necessary information on course offerings prior to preparation of timetable
  • Ensuring course code, course title, equivalent course and other related information with regards to courses are accurate
  • Presenting the first draft of course & examination scheduling for verification by the schools
  • Submitting course offering for each school for approval to AAC and Senate
  • Ensuring the final version of scheduling to be tabled at AAC for approval and Senate for endorsement
  • Ensuring all approved scheduling are timely transferred into the Student Management System
  • To ensure all data for timetabling are uploading into LMS before the semester commence

     2. Students Graduation List

  • Maintaining and updating course audit report in LMS
  • Generate list of students who are expected to complete
  • Forwarding list of completed students for school verification
  • Ensuring the accuracy of Students Graduation List measured against the total number of graduates endorsed by Senate and based on course audit report prepared by the School

 3. Learning Management System (LMS)

  • To create new account (FMS/SMS/PGS) for staff and lecturer
  • To ensure students' status (inactive/ missing/ deregister) to be updated accordingly
  • Monitoring inactive students in the system
  • To rectify and solve problem on FMS/SMS/PGS
  • Monitor and ensure that LMS is in working order as required by the management of the University
  • To ensure accurate report can be generated from LMS.
  • Maintaining and updating programme structure by cohort in LMS
  • Ensuring LMS are ready for the new semester

4. Other Academic Administration Matters

  • Process and update student Add/Drop Courses/ Deferment/ Withdrawal/ Reinstate and Credit Transfer applications in accordance to University's policies, rules and regulation
  • Participate as sub-committee in University's Convocation
  • Attend to complaints and enquiries escalated through Assistance Ticketing System (ATS)
  • Update student with Petition/Graduated status in FMS/SMS/PGS

OTHER DUTIES

To carry out such other duties that may be assigned to you from time to time by the Registrar/ Head of Department or persons acting on behalf of UNIRAZAK

Requirements

  • At least 1-2 years of experience in managing classes and timetable scheduling in a University's setting
  • Familiarity with LMS and Student Information System (SIS) is an added advantage
