Assistant Registrar (Admission Unit)

Description

UNIRAZAK is seeking a dedicated and detail-oriented Assistant Registrar (Admission Unit) to manage the end-to-end student admission and registration processes. The role is responsible for handling applications, ensuring compliance with entry requirements, issuing offer letters, and overseeing student registration activities. The Assistant Registrar will also manage student records and documentation, provide accurate data for regulatory reporting, and support institutional events.

This position requires strong organizational skills, attention to detail, and the ability to work effectively with students, staff, and external stakeholders to ensure a smooth and efficient admission experience while upholding the university’s standards.

Responsibilities

ACCOUNTABILITIES

Student Admission

  1. Manage the end-to-end student application process, including receipt, log, and organize incoming applications to ensure a proper admission workflow.
  2. Check completeness of submitted applications, including required academic transcripts, identification, and other supporting documents.
  3. Assess applicants’ qualifications to ensure they meet the minimum entry requirements set by regulatory and institutional standards.
  4. Prepare and issue offer letters to successful applicant and relevant departments for their next course of action.

Student Registration

  1. Plan and coordinate logistics for Registration Day, including venue booking, event setup, process flow and preparation of registration materials.
  2. Oversee smooth execution of the registration process, ensuring that students complete all required steps such as document verification, fee payment confirmation and issuance of matric number. Provide guidance and assistance to registered students during the event.
  3. Perform the registration in the Student Information System (SIS) for students who have been duly cleared for enrollment. Conduct verification checks to maintain accuracy and completeness of records.
  4. Facilitate student onboarding activities (if required), including introductory briefings on academic regulations, student status and support services.
  5. Generate post-registration reports, reconcile student records with supporting documents and ensure that late registrants or deferred students are processed in accordance to the university regulation.

Student Records and Documentation

  1.  Prepare, maintain, and regularly update comprehensive student files to ensure accuracy and completeness throughout the entire student lifecycle.
  2. Ensure the proper organization, secure storage and systematic management of student files to maintain efficient document retrieval.
  3. Process and issue student matriculation cards for newly registered students.
  4. Prepare and issue official verification letters or documents upon student or external request.
  5. Verify student records in the Employees Provident Fund (EPF) withdrawal applications in accordance with the given guidelines.

Data Management and Reporting

  1.  Provide timely and accurate student data in response to any internal and external requests.
  2. Prepare data and documents for submission to external bodies such as MOHE, MQA or other authorities as required.
  3. Compile admission and student records required for programme accreditation, audits, and quality assurance exercises.
  4. Conduct periodical checks to ensure accuracy and security of student data.

General Support 

  1. Respond promptly and professionally to staff or student enquiries regarding admission, registration and documentation.
  2. Provide support in improving admission processes and enhancing student experience.
  3. Monitor and request office supplies necessary for daily operation of the department.
  4. Extend administrative support during institutional events such as convocation ceremony and staff club activities.

 OTHER DUTIES

To carry out such other duties that may be assigned to you from time to time by the Registrar/ Head of Department or persons acting on behalf of UNIRAZAK

Requirements

  • Bachelor’s Degree in any related field.

  • At least 2–3 years of relevant working experience in student admissions, registrar’s office, or higher education administration.

  • Strong organizational and multitasking skills with attention to detail.

  • Good communication and interpersonal skills to engage with students, staff, and external stakeholders.

  • Proficiency in Microsoft Office applications and Student Information Systems (SIS) is an added advantage.

  • Ability to work independently and as part of a team in a fast-paced environment.
